What should a pharmaceutical manufacturer look for in an MES implementation partner?
Look for a partner that has delivered validated systems, works to GAMP 5 and understands 21 CFR Part 11 and your GMP rules, and can produce the validation documents as well as the software. Ask how they handle electronic batch records, data integrity and change control before you compare prices.
Talk to an engineer about thisWhy pharma MES projects are different
A pharmaceutical MES does more than track production. It usually runs electronic batch records, weighing and dispensing, material status and expiry control, equipment status and cleaning records, and review by exception so quality can release batches faster. Every one of these produces GMP records, so the system must be validated and its records must be trustworthy. That makes the partner’s validation and data integrity practice as important as their software skills.
The regulatory frame
In the US, FDA 21 CFR Part 11 sets the conditions under which electronic records and signatures are accepted in place of paper; the FDA scope and application guidance explains how the agency applies it. The EU applies GMP Annex 11 to computerized systems, and Indian manufacturers work under Schedule M. Across all of them, ISPE GAMP 5 is the most widely used practical guide to validating computerized systems with a risk based approach. A capable partner should speak about all of these in terms of your products and markets, not in general.
What a validated delivery includes
Expect the partner to produce or support: user and functional requirements, a risk assessment, design specifications, a traceability matrix from requirements to tests, installation, operational and performance qualification protocols and reports, and a validation summary. Ask to see anonymized examples. If a partner only talks about software features, the validation work will fall on your team.
Questions to ask before you shortlist
How have you handled audit trails, electronic signatures and time stamps in past projects? How do you manage configuration and change control after go live? How do you migrate or run in parallel with paper batch records during the transition? Which integrations have you delivered with ERP, LIMS, QMS and weighing scales? Who on your team has worked in a GMP environment, and will they be on this project?
Warning signs
A fixed price quoted before anyone has read your process flows; no named validation lead; a plan that validates everything at the same depth instead of by risk; and no plan for data integrity reviews once the system is live. Each of these tends to show up later as delay or audit findings.
How to scope the first phase
Most plants start with one area where paper causes the most delay, often weighing and dispensing or batch record review, and prove the validated workflow there before rolling out. Agree the validation approach with your quality unit before the build starts, because changing it halfway costs more than any other decision.
